What is Personal Information
The Protection of Personal Information Act, No. 4 of 2013 defines personal information as the information relating to an identifiable, living natural person, and where it is applicable, an identifiable, existing juristic person, including but not limited to: (a) information relating to the race, gender, sex, pregnancy, marital status, national, ethnic or social origin, colour, sexual orientation, age, physical or mental health, well-being, disability, religion, conscience, belief, culture, language and birth of a person; (b) information relating to the education or the medical, financial, criminal or employment history of the person (c) any identifying number, symbol, e-mail address, physical address, telephone number, location information, online identifier, or other particular assignment to the person; (d) the biometric information of the person; (e) the personal opinions, views or preferences of the person; (f) correspondence sent by the person that is implicitly or explicitly of a private or confidential nature or further correspondence that would reveal the contents of the original correspondence; (g) the views or opinions of another individual about the person; and the name of the person if it appears with other personal information relating to the person or if the disclosure of the name itself would reveal information about the person; and (h) the name of the person if it appears with other personal information relating to the person or if the disclosure of the name itself would reveal information about the person.

Processing of Personal Information
The website collects different types of personal information; this may include but not limited to, your name/s and surname, identity number, cell phone number, email address and next of kin contact details. We only collect personal information that is necessary and relevant to the functioning of our website.When you register on our website, you will be required to provide your name, surname, ID number, contact number, and next of kin contact number. We prioritize the protection of your personal information and employ it solely for the purpose of notifying you when your lost items are found. In the event that you pick up someone’s items, you will be required to provide us with your name and contact details, this information will be used to notify the rightful owners that their items are currently in your possession and to facilitate the transmission of your name and contact details to the owners of the items enabling them to contact you promptly. In cases where the owner of the item is not registered in our database, the system will retain your name and contact details, allowing the owner to search for and view the details of the person who found their items. Owners of the items will be required to enter their ID number in order to see the name and contact details of the person who picked their items.

HMFI only collects personal information when users provide such information voluntarily e.g. registering on the website for its services.

Legal basis of processing personal information
We shall process personal information under the following circumstances:

- necessary for compliance obligations imposed by the law on HMFI;

Sharing of information
Disclosure to third parties We may disclose user information to trusted third-party service providers to enable them to provide their services, such as IT service providers, data storage, hosting and server providers, or analytics platforms. We will ensure that the third party recipient is subject to a law or binding agreement which provides an acceptable level of protection for your personal information. Although the HMFI may provide users’ information to service-providers that handle information on its behalf, it will usually not share the information with third parties or other public entities for secondary or unrelated purposes unless otherwise disclosed at the point of collection. Personal information may be transmitted internationally through the HMFI or to third parties for the purposes identified above. This will not include transfer to countries without data protection rulessimilar to those in effect in the user’s country of residence. How long do we keep your data?

HMFI takes information security extremely serious and has implemented appropriate technical and organisational measures to protect personal information. Access to information is highly restricted and security procedures are continually enhanced to ensure their continued suitability. In the event of a data breach, we have policies and procedures in place to detect and respond to such incidents. We will notify you as soon as possible if we become aware of a data breach that affect your personal information.
